- Name the product, customer or campaign exactly as it appears in your system.
- Give the period for reports, such as “this week” or “1 to 15 September”.
- Say the format you want back: a short answer in the chat, an Excel file or a PDF.
- Send a photo or file first, then the request that refers to it.

Confirmations before changes
A message-based assistant is only safe if it pauses before actions that are hard to undo. A good assistant separates requests into two kinds:
- Read-only requests, such as reports and lists, which it answers straight away.
- Changes, such as publishing, sending a broadcast, deleting items, changing prices or ad budgets, which it describes and then waits for your confirmation.
Example exchange:
You: “Delete the old summer collection.”
Assistant: “This will remove 14 products in Summer Collection from the website and WhatsApp catalogue. Reply CONFIRM to delete, or tell me which ones to keep.”
Two more safeguards matter:
- Who can ask. Only approved admin phone numbers should be recognised, and the assistant should ask for an admin password from time to time.
- Honest reporting. After a change, the assistant should say what was actually done, and say clearly if something could not be done.
Files, PDFs and photos
WhatsApp makes it natural to send files, and a capable assistant can work with them.
- Photos: “Use this photo for the towel” replaces a product image. A photo of a menu or price list can become draft products for you to review.
- PDFs: forward a supplier contract and ask “What are the payment terms?”
- Spreadsheets: send a price list and ask for a summary, or “Import this CSV of leads”.
- Documents out: ask for a report as Excel or PDF, or for a quotation or invoice prepared as a branded PDF.
Always check figures against the original before acting on them. Reading a file is quick, but a misread number in a contract is expensive.
Limits to know
- It knows what you have told it. If a policy or price is not in its information, it cannot answer correctly. Keep its knowledge current.
- It does not replace professional advice. Tax, legal and medical questions go to qualified people.
- Some jobs need a person. Large projects, design decisions and unusual requests are handled by your provider’s team.
- Clear requests work better. “Change the price of the large box to the price on the attached list” is clearer than “fix the prices”.
- Review before you confirm. The confirmation step only protects you if you read the preview.
