A good payment reminder message is short, polite and makes paying easy: it names the order or invoice, the amount due and includes the payment link. Sent on WhatsApp in a gentle sequence, reminders recover most unpaid orders without harming the relationship.

This article explains why reminders get ignored, a sequence that works, sample wording, when to call instead and how to record outcomes. It is part of our guide to selling on WhatsApp in the UAE.

Why reminders get ignored

Most unpaid orders are not refusals. The customer got distracted, the link expired, the card failed or they meant to check something first. Reminders get ignored when they:

Fixing these five points does most of the work.

A polite sequence

A short, spaced sequence is enough for most unpaid orders. The default follow-up timings we use are 2 hours, 24 hours and 48 hours after the order or invoice, and they can be changed to suit your business.

When Purpose Tone
After 2 hours Gentle nudge with the link Helpful, assumes they were busy
After 24 hours Reminder, offer help with any problem Friendly, practical
After 48 hours Final reminder, explain what happens next Clear, still polite

Stop the sequence as soon as payment arrives. Nothing damages trust faster than a reminder after the customer has paid. For invoices with longer payment terms, space the reminders around the due date instead: a few days before, on the day, and a week after.

Sample wording

First reminder:

“Hello Rania, just a reminder that order #4521 is waiting for payment. Here is your secure link to complete it. Reply here if you have any questions.”

Second reminder:

“Hi Rania, order #4521 is still open. If the link did not work or you would like to change anything, reply and we will sort it out. Here is the link again.”

Final reminder:

“Hello Rania, we will hold order #4521 until tomorrow evening. After that, we will release the items. Here is the payment link if you would still like it.”

For a business invoice:

“Good morning Mr Khalid, a reminder that invoice INV-0318 is due on 15 October. You can pay by card using this link, or by bank transfer using the details on the invoice. Thank you.”

Include the amount due in your real messages. It removes a step and avoids disputes about the total.

When to call instead

WhatsApp is right for routine reminders, but some situations need a person:

In these cases, a short call or a personal message from the owner usually works better than another automated reminder. Pause the automatic sequence while the conversation happens.

Recording outcomes

Record what happened to every unpaid order or invoice, so you learn which steps work:

If most payments arrive after the first reminder, your sequence is working. If many arrive only after a call, consider calling earlier for larger amounts. The Help Centre explains how invoices with VAT are created and tracked by message.

How Dub Ai helps

With payment reminders, you can ask the assistant to resend a payment link, or let reminders go out automatically for orders and invoices that are still open. Messages are short and polite, include the amount due and the link to pay, and stop once payment is confirmed. You can ask at any time which orders are still waiting.

For business customers, invoices with VAT and payment links are prepared by message in your brand, and you preview and approve each one before it is sent.

Frequently asked questions

How many reminders are reasonable?

For an unpaid order, two or three reminders over about two days is reasonable, with the last one explaining what happens next. For invoices on payment terms, one reminder before the due date, one on the day and one after is common. Beyond that, a personal call usually works better than more messages, and keeps the relationship intact.

Should reminders include the payment link?

Yes. A reminder without the link asks the customer to search for the original message or call you, which is where many payments stall. Include the link, the order or invoice number and the amount in every reminder. If the link may have expired, send a fresh one rather than repeating the old one.
