Bakery online orders in the UAE often start on WhatsApp: a customer asks for a birthday cake for Saturday or a box of manakish for Friday breakfast. To handle them well, the chat must capture the date, delivery or collection, any custom details and payment, ideally before anything goes in the oven.

How bakery customers order
Bakery orders are different from most retail. Customers order for a date, often for an occasion, and many orders are repeat purchases of the same items.
- Everyday orders: bread, pastries, savoury bakes for a given day.
- Occasion orders: birthday and celebration cakes, platters for gatherings.
- Seasonal orders: Ramadan, Eid and National Day boxes.

Dates, delivery and collection
The date is the most important detail in a bakery order, and the one most often missed in a busy chat.
- Ask for the date and whether it is delivery or collection.
- For delivery, confirm the area and a time window.
- For collection, confirm the branch and a time.
- Check the date against your lead time and daily capacity before accepting.

Set a daily limit for custom cakes and large platters, and let the assistant tell customers politely when a day is full, offering the nearest open date instead.

Custom cake requests
Custom cakes need more detail than a standard product. Collect it in a set order so nothing is forgotten:

Your team should confirm complex designs and allergy questions personally. The assistant collects the details and passes them on; it should not promise a design or an allergen-safe cake on its own.
Payment before baking
Custom and large orders are costly to waste. Asking for payment, or a deposit, before baking protects the bakery and is widely accepted by customers when explained politely.

- Send a payment link for that specific order.
- If payment is not completed, send a polite reminder with the link.
- Release the slot if payment does not arrive by your cut-off time.
b2r added card payments to its shop, and its AI sales agent sends pay links in the chat. The case study reports that in the first 30 days to 1 October 2026, the agent handled 45 chats that led to 13 agent orders, of which 4 were paid (source: 800website CRM). Reorder reminders
Bakeries have loyal customers with regular habits. A timely reminder brings many of them back.
- Offer “same as last time” when a regular messages.
- Before weekends or holidays, message opted-in customers who usually order then.
- Announce seasonal boxes once, early enough for people to plan.
