Ask a small business owner in Dubai where their customers come from and the answer is often a shrug. Some from Instagram, some from Google, a few referrals, and “a lot from WhatsApp”. The trouble is that WhatsApp is not a source. It is where everyone ends up. The ad click, the website visitor and the friend of a friend all arrive in the same chat list, and after a week they look the same.
That makes two simple questions hard to answer. Which enquiries still need a reply or a follow-up? And which channels bring people who actually buy? This guide shows how to track enquiries as leads with habits you can start today, and then how Dub Ai does the routine part for you.
Why enquiries slip through
Most lost enquiries are not lost because someone was rude. They are lost because nobody owned them:
- A customer asks about a service on Thursday evening, the reply waits for the weekend, and by Monday they have booked elsewhere.
- A promising lead is in a sales person’s personal phone, and when that person is on leave, nobody can see the chat.
- The owner spends on ads but cannot tell whether those chats turned into sales or only into questions.
- The same customer messages from a new number, and the team treats them as a stranger.
Small cases, but together they decide whether your marketing turns into revenue.
A simple lead system you can start this week
You do not need special software to begin. A shared spreadsheet and a few rules will already change how your team works.
- Write down every new enquiry the same day. Name, phone number, date, and what they asked for. One row per person.
- Record the source. Ask “how did you hear about us?” in your first reply, or check whether the chat started from an ad. Use a short fixed list: Ad, Website, Referral, Walk-in, Returning.
- Use the phone number as the key. Before adding a row, search the number. If the person is already there, update the row instead of adding a second one.
- Give every lead a status. Keep it to four or five steps, for example New, Talking, Booked, Won, Not now. Anything more and nobody keeps it up to date.
- Give every lead an owner. One name per row. If a lead has no owner, it has no follow-up.
- Add a next action and a date. “Send options on Tuesday” is a plan. “Follow up” is a wish.
- Write a two-line brief. What they want, what was promised. The next person should not need to read the whole chat.
- Review once a week. Count leads per source and how many reached Won. Move ad spend towards the sources that bring buyers, not only clicks.
These steps work, but they depend on someone copying every WhatsApp chat into a sheet, daily.
Where spreadsheets stop
A spreadsheet does not know when a new chat arrives. It does not see that the customer from Tuesday never got an answer. It cannot tell you, on a Friday afternoon, which leads still need a follow-up unless someone filters it by hand. And the brief is only as good as the time the person had to write it.
The conversation and the decision belong to your team. The copying should not.
How Dub Ai keeps your leads and pipeline
With Dub Ai, every new WhatsApp chat and website form is saved as a lead as it comes in, keyed by phone number so the same person is not saved twice. Each lead has its source, a status and a short brief from the conversation, so whoever replies has the context.
Your leads and pipeline view lets the team filter by source, status and category, assign each lead to the right person, add notes and reminders, and mark a lead as a customer once they buy. Existing contacts can be imported from CSV or Excel, and the full list can be exported whenever you need it.
You can also ask the admin assistant on WhatsApp, in plain words: how many leads arrived this week, or which leads still need a follow-up. You get a short answer back.
The chats themselves live in the shared WhatsApp team inbox, so the lead record and the conversation sit side by side. Your team takes a chat, replies and leaves a note, and the lead keeps its history.
Filling the top of the pipeline
Some businesses have the opposite problem: a tidy list, but not enough new names in it. For outreach to other businesses, the lead finder for Google Maps and LinkedIn searches public business listings for the type of business you describe and saves the results into the same leads list, with the source labelled. Outreach should always respect each platform’s rules and local regulations, and the Dub Ai team advises on approved WhatsApp templates and opt-out handling.
What changes for a small team
For a small team answering customers, the change is mostly about calm:
- Nobody copies chats into a sheet at the end of the day.
- Every lead has an owner and a next step.
- The owner sees which sources bring customers, not just enquiries.
- A returning customer is recognised by their phone number.
The assistant keeps the list tidy. Your people still decide who to call, what to offer and when a lead is a customer. You can see the full Leads & Pipeline feature for the details.
